Policy and Procedures for Driving Personal Vehicles on University Business
Students and employees are authorized to transport others in their personal vehicle while on university business if they have successfully completed the approved driver certification process.
When driving a personal vehicle on university business, the driver’s personal insurance serves as the primary insurance. The university's insurance will serve as secondary coverage, but only if the driver is approved by the university, having completed all necessary steps to qualify as an approved driver prior to the date of the event. Students and employees need to be comfortable with their own auto insurance coverage and limits and assume risks and responsibility for transporting other individuals in their vehicle.
When an employee or student is asked by the university to transport others or conduct university business by driving their personal vehicle, that person/driver must be on the approved driver’s list maintained by plant services indicating the following:
- A minimum of three years of licensed driving history with an acceptable motor vehicle driving record, as defined in this policy
- Driver’s license number and expiration date (recorded as a part of the approval process)
- Completion of the online training provided by plant services
- Current personal automobile insurance including the insurance company name, policy number and adequate limits (recorded as a part of the approval process) in the quiz
When the university is not providing or arranging for transportation to an event or activity (e.g., the event begins at the designated location), the driver assumes all risk and liability when driving to the event. To be eligible for the university's secondary insurance coverage when driving a personal vehicle, drivers must successfully complete the university's approved driver process prior to the event.
In all cases, the vehicle owner/driver must comply with all traffic laws and regulations and ensure that the personal vehicle is maintained in safe operating condition (e.g. roadworthy and mechanically sound).
Driver Approval Process
The university approved driver certification process takes five business days forprocessing driving records and insurance authorization. Plan ahead so that you can be approved in time for your deadline.
Follow the instructions below to become an approved driver using a personal vehicle for university business and/or transport.
- Read the policy
- Log into Canvas to watch the "Personal Vehicle Driver Safety Video," and then complete the accompanying quiz.
- Use your George Fox username and password to log into Canvas.
- Enroll in the University Transportation Policy and Certification site through Canvas.
